Availability and Scheduling Limits by Appointment Type A Andrew Kelly

Acuity allows you to create groups of appointment types that have their own individual settings for availability and scheduling limits, even though the different groups are on the same calendar.

Creating Availability Groups

Note: If you have multiple appointment groups available at the same time on a single calendar, once a client schedules an appointment in a time slot, only other appointments from the same group will be available for that time slot.

To create groups of appointment types:

If you have one calendar:

  • Go to Business Settings > Availability.
  • Near the bottom of the page, click the link that says Set different hours for certain Appointment Types…
  • Check the boxes next to the appointment types that you want to put into one group, then click Save Appointment Types. If this is the first group you have created, the appointments you checked will be turned into a group called Group 2. Those you didn’t check will be turned into another group, called Group 1.
  • Set your availability. Learn how to set availability here.
  • Click the Client Scheduling Limits tab at the top.
  • Click Save Limits.
  • Click the X at the top right.

You now have two separate groups of appointment types on your calendar.

If you have more than one calendar:

  • Go to Business Settings > Availability.Find the calendar on which you want to create appointment groups. At the bottom of that calendar’s block, click the link that says Set different hours for certain Appointment Types…
  • Check the boxes next to the appointment types that you want to put into one group, then click Save Appointment Types. If this is the first group you have created on this calendar, the appointments you checked will be turned into a group called Group 2.

Editing Availability Groups

You can add or remove appointment types from groups. To do this:

  • Go to Business Settings > Availability.
  • Find the group in question and click the Edit Group button.
  • Make sure that the checkboxes next to the appointment types that you want in the group are checked and that the checkboxes next to the appointment types you don’t want in the group are not checked.
  • Click Save Changes.

Moving Appointment Types Between Availability Groups

To move an appointment from one group to another:

  • Go to Business Settings > Availability.
  • Find the group the appointment type is currently in, and click the gear icon to the right of the appointment type’s name.
  • Select the group to which you want to move the appointment type from the dropdown (or click the Create New Group button to create a new group.)

Classes and Availability Groups

Classes will always automatically be placed in Group 1. You can add any appointment types you like to the group as well. Because classes are offered at times that you manually choose, they aren’t affected by Group 1’s availability settings. However, they are governed by Group 1’s scheduling limits.
